A conference room is the highest-stakes room in any commercial building. It is where the pitch lands or doesn’t. Where the negotiation closes or stalls. Where the board makes the decision. Where the deal is signed. Every other room in the office is infrastructure for the work; the conference room is where the work comes to its conclusions. A conference room that is uncomfortable, acoustically leaky, visually distracting, or technically unreliable is a conference room that is working against you in the moments that matter most. We approach conference room design as a technical and spatial problem that requires expertise in acoustics, AV integration, lighting, and furniture ergonomics at the same time, because a failure in any one of these dimensions compromises the whole. A room with beautiful millwork and a conference table that cannot be heard clearly in the back row is a room that failed where it mattered. A room with a state-of-the-art display system and acoustics that allow the corridor to hear the negotiation inside is a room that failed professionally. Acoustics: the non-negotiable foundation
Conference room acoustics is the most commonly under-specified element in commercial interior design, and the most consequential failure mode. A conference room that does not provide genuine acoustic separation from adjacent spaces is not a conference room. It is a semi-private area with a table. The acoustic design of a conference room must address three distinct problems simultaneously: transmission loss, which determines whether sound travels through the walls and how much; room acoustics, which determines whether speech is intelligible to everyone seated at the table; and flanking, which determines whether sound travels around the partition through the ceiling plenum, the floor, or the mechanical system even when the walls themselves are performing correctly.
Partition design and STC ratings
The most common failure in conference room acoustic design is stopping the partition at the suspended ceiling rather than carrying it to the structural deck. A partition that terminates at a suspended ceiling tile is acoustically equivalent to a partition with a two-inch gap at the top. The plenum above the ceiling is a continuous shared space, and sound travels through it freely regardless of the wall below. We design conference room partitions that go to deck in every case, with STC ratings calibrated to the adjacency conditions: STC 45 for rooms adjacent to open office space, STC 50 or higher for rooms where sensitive conversations will be standard. The door assembly is specified to match the wall rating, because a high-STC wall with a hollow-core door achieves nothing.
Room acoustics for speech intelligibility
The internal acoustics of a conference room determine whether speech is intelligible to everyone at the table without amplification, whether the microphone systems can pick up speech clearly without also picking up HVAC noise, and whether the room has the right reverberation time for the combination of in-room and remote conversation. A room that is too live, with too many hard reflective surfaces, creates a fatiguing acoustic environment where everyone at the table struggles to understand each other. A room that is too dead, with too much absorption, sounds unnatural and creates an uncomfortable intimacy. We design conference room acoustics with the ceiling absorption, the wall treatment, and the furniture surfaces calibrated to achieve a reverberation time appropriate for the room size and its primary uses.
AV integration: displays, cameras, and microphones
The AV infrastructure of a conference room is increasingly the most technically complex element of the design, and the one where design intent and technical performance are most often in conflict. A display that is too small for the room means the remote participant’s face is unreadable from the far end of the table. A camera that is positioned to capture the full room from a single point perspective makes half the people at the table invisible. A microphone array that picks up the HVAC system as loudly as the speaker makes every remote call an exercise in apology. We design AV systems from the schematic phase, not as an afterthought at permit set, because the room geometry, the furniture position, and the AV infrastructure must be designed together to achieve the outcome where the technology disappears and the meeting works.
Display sizing and mounting
Display sizing in a conference room is a function of the room depth and the content being shown, not the budget line for AV. The minimum display width for a room where participants at the far end of a 14-foot table need to read text on a shared screen is significantly larger than what most TI budgets default to. We specify display sizes from the viewing distance calculation and the content type, with dual displays for rooms where simultaneous content sharing and video calling is the norm, and mounting positions designed so the camera can be positioned at eye level rather than above or below the display. A camera at eye level makes a video call feel like a conversation; a camera mounted above a 75-inch display makes it feel like a surveillance feed.
Microphone and speaker design
The microphone system in a conference room is the element most responsible for whether remote participants feel present or marginalized. A single speakerphone in the center of a 20-foot table picks up the people nearest to it and loses everyone else. A distributed microphone array, properly designed for the room geometry and ceiling height, captures clear speech from every seat at the table and excludes the HVAC noise that sits below the speech frequency range. We specify microphone systems from the room geometry and expected use patterns, with speaker systems designed so in-room audio from remote participants is clear and localized to the direction of the display rather than emanating from the ceiling.
Lighting, table sizing, and the hybrid meeting experience
The lighting design of a conference room is not separate from its AV design. The camera system that will capture the people at the table must have enough ambient light to render faces clearly without the harsh shadows that overhead downlighting creates. The lighting must be controllable for presentations, where a dark room with a bright display is appropriate, and for working sessions, where full illumination is required. A conference room with a single switching zone and fixed illumination level is a conference room that is poorly lit for half the meetings it hosts. We design conference room lighting with the layered control, the color temperature, and the illumination levels that serve the full range of meeting types the room will accommodate.
Table sizing, shape, and seating
The conference table determines the social dynamics of the room as much as the furniture specification determines the comfort. A rectangular table with a clear head communicates hierarchy; a round or oval table communicates equality. A table sized for the room’s rated capacity leaves every occupant fighting for elbow room; a table sized for comfortable conversation at 75% of that capacity produces a room where the work actually gets done. We design conference rooms with table dimensions derived from the primary use case: the negotiation room where two sides face each other across the table is different from the presentation room where one presenter addresses a row of observers, which is different from the working session room where eight people share a table and produce something together.
Glass walls, privacy, and visual distraction
Glass-fronted conference rooms are a space planning staple that creates a genuine acoustic and visual tension. A glass wall that is transparent to passersby in the adjacent corridor is a glass wall that invites visual distraction from inside the room and makes every sensitive meeting visible from outside it. The choice between full glass, fritted glass, translucent film, and solid construction is a design decision that must account for what happens inside the room as much as how the room looks from the floor plan. Huddle rooms, booking technology, and the conference room portfolio
The conference room portfolio of a contemporary office is not a single room type repeated at different scales. The space plan allocates these proportionally to how the organization actually uses meeting space, not how it imagines it does.
Small huddle rooms and focus pods
The smallest conference spaces in a portfolio, the two-to-four person huddle room and the single-person phone booth, are the most frequently used and the most commonly under-designed. A phone booth with inadequate acoustic separation is a phone booth that provides no benefit over making the call at a desk. A huddle room with a display too small to share a screen clearly is a huddle room where people use their laptops side by side instead. Booking technology integration
The room booking panel mounted outside the conference room is a small design decision with large operational consequences. A panel that communicates clearly whether the room is available at a glance, that allows ad-hoc booking from the panel without a phone or laptop, and that integrates with the organization’s calendar system without requiring IT intervention to configure is a panel that makes the conference room portfolio function smoothly. For a room with a 14-foot table depth where participants need to read text on a shared screen, a 75-inch display is typically the minimum that serves the full table. Dual displays are appropriate for rooms where simultaneous content sharing and video calling are the norm. Defaulting to the largest display that fits the wall is rarely correct; designing the display size from the viewing geometry is.
Where should the camera be positioned in a conference room?
At or near eye level for a seated participant, centered on the primary display or display group. A camera mounted above a display at ceiling height produces a downward-looking angle that makes remote participants feel surveilled rather than engaged, and makes in-room participants look diminished. A camera at the correct height, framed to capture the full table width without distorting the periphery, makes a video call feel like the participants are in the same room rather than being observed from above.
What is the difference between a boardroom and a conference room?
A boardroom is sized for the full board with advisors and counsel, designed with a formal composition that communicates governance seriousness, and invested in material quality commensurate with the institution’s position. A conference room is a high-capability working environment used for client meetings, team presentations, and working sessions. Both require full acoustic and AV performance; the boardroom requires a higher material register and a more formal spatial composition.
Should conference room walls be glass or solid?
Glass fronts communicate availability and openness, which is appropriate for informal huddle rooms and small meeting spaces where transparency encourages use. Solid or partially solid construction is appropriate for formal conference rooms where visual privacy is required for the meeting type. Fritted glass or translucent film is a middle ground that admits light while reducing visual distraction, and is a reasonable choice for rooms that handle a mix of formal and informal meetings.
